All ELCA congregations are eligible to register for the Gathering. Congregations should select one adult to be the primary adult leader, the one who coordinates registration, payments, transportation and rooming lists for the group. Registration opens Sept. 15, 2017, and closes May 15, 2018. The registration portal is live and online from Sept. 15 through the end of the Gathering.
When registration opens, the primary adult leader will log in to the system via the congregational ID number and an email address and enter the information for each registrant. These two basic things – the congregational ID and the email address – become the key to accessing Gathering information for congregations. Housing assignments will be posted here and congregational payments will be applied as they come in, so you can always log in to see what your balance due is. All balances must be paid by May 15, 2018, before you arrive in Houston.
Registration worksheets are available on our resources page. You can distribute these worksheets to your youth and adults who will attend, and when they return them to you, you’ll have all their information ready for data entry. Registration costs are dependent on when you register. Early bird registration, September 15 - November 15, 2017, is $350. Regular registration, November 16, 2017 - February 15, 2018, is $390. Late registration, February 16 - May 15, 2018, will be $440. A $150 non-refundable, per person deposit is due at the time of registration and must be postmarked within the rate range you expect to pay.
After all the data is entered, you will be prompted to print out your confirmation letter, which lists all your attendees and includes instructions on mailing your deposit. Registrations are not considered final until the $150 per-person, non-refundable deposits have been received by the Gathering. Delaying payment may move you into a higher registration fee bracket, so be sure to do this as soon as possible. Please send one check per congregation, with your congregational ID number in the memo line.
