Congregational registration is now open! All ELCA congregations are invited to register for the Gathering. Youth in grades 8th-12th grade at the time of registration (2017-18 School Year) are eligible to attend as participants. Adult leaders should be at least 21. Congregations should generally have a ratio of 1 adult for every 7 youth. If you are not an ELCA congregation, but would like to attend please email

Congregations should select one adult to serve as their primary adult leader. This person coordinates registration, payments, transportation and rooming lists for the group. This individual will also serve as the contact person for all communication from the Gathering.

Registration opened on September 15, 2017, and continues through May 15, 2018. The registration portal will be live and online until the end of the Gathering. Congregations may log in at any time throughout the registration period to add, edit, or cancel registrations.

To complete registration, the primary adult leader should log in to the system using their five digit ELCA congregational ID number and an email address. The congregational ID and email become the key to accessing Gathering information for congregations, such as: housing assignments, program rotation days, payments, etc.

Once logged into the system, primary adult leaders must enter information in four different areas:

  1. Congregational details
  2. Primary adult leader
  3. Adult leaders
  4. Youth participants

Registration worksheets are available on our resources page to help primary adult leaders collect the information necessary to complete registration. The information on collected from these worksheets must be entered in the online registration system. The Gathering does not collect registration worksheets. 

Registration fees are dependent on when participants are entered in the system:

Early Bird Registration - $350
Sept. 15, 2017 through Nov. 15, 2017
Regular Registration - $390
Nov. 16, 2017 through Feb. 15, 2018
Late Registration - $440
Feb. 16, 2018 through May 15, 2018

A $150 non-refundable, per person deposit is due at the time of registration and must be postmarked within the rate range you expect to pay. Registration fees are the same for youth and adult leaders. Youth participants who receive $300 in financial assistance are only required to pay a $50 non-refundable deposit.

After all the registration data is entered, you will be prompted to print out a payment letter that must be mailed with any payments. The payment letter lists the total balance due for your congregation and will update automatically as payments are applied to a congregation’s account over the course of the registration cycle. All congregations must be paid in full by May 15th, 2018. The payment letter also list the P.O. Box address in Hagerstown, MD where all payments should be mailed. Please do not send registration payments to the Gathering’s Chicago office address. All checks should also include your congregation’s ID listed in the memo line. Delaying payment of the $150 per person, non-refundable deposit may move registered participants into a higher registration fee bracket, so be sure to mail a check as soon as possible.



May 15 is also the final day to cancel registrations. Log into your Gathering accountclick edit next to the participant who will no longer be attending, and change their status from “attending,” to “ canceled.” A cancellation mean you will forfeit your $150 non-refundable deposit. If you paid more than the deposit, the funds will be applied to your final balance due. If you are paid in full, your congregation will receive a refund after the Gathering.

You will receive a confirmation email from the Operations Team with payment and other details IF there is room for the day or days you have chosen. Please only select the days you are committed to purchasing. Charges for this meal will be added to your Gathering registration balance and will be due May 15.
