I served as a 2019 Churchwide Assembly voting or advisory member. How do I submit my expense report?

This is my first time as a Churchwide Assembly voting member. What do I need to know?
You will be receiving emails with information to help you prepare for your role as a voting member. In the weeks leading up to the assembly, you will be invited to become familiar with the preparation material by checking the assembly website at www.ELCA.org/churchwideassembly or ELCA Churchwide Assembly Guidebook application, once the app is available.

What is ELCA Guidebook?
The ELCA Churchwide Assembly Guidebook application (also known as ELCA Guidebook) is a mobile app for tablets such as an iPad and commissioned by the churchwide office to replace much of the paper resources of the 2019 Churchwide Assembly. In addition, it is an information source for assembly participants. ELCA Guidebook is accessible by anyone and will have up-to-date information that can be accessed before and during the assembly using any iOS (Apple) or Android tablet with access to the Internet. With the use of ELCA Guidebook at this assembly, all attendees are asked to attend orientation and Guidebook app training on Monday, August 5 beginning at 1:00 p.m.

Do I need to purchase a tablet to access ELCA Guidebook?
No, you do not need to purchase a tablet (e.g. iPad). When registration opens, you will have the option to choose to use an ELCA-issued iPad during the 2019 Churchwide Assembly. More information about the use of ELCA Guidebook will be forthcoming.

When can I register?
Registration is now open, hotel accommodations are made directly on the registration page. If registering as a visitor please click here to register online. Those with limited computer or Internet access will have the option to register over the phone.

Single day visitor registration is available onsite only, the registration fee for one day is $20 and does not include meals. You will not be able to purchase meal tickets onsite.

When can I make travel arrangements?
Your registration materials explain when and how to make your travel arrangements. If you are a voting or advisory member your travel costs are paid for by the ELCA, but keep in mind that you must make your air travel arrangements through Direct Travel.

I am a voting or advisory member. Can I bring family members with me?
Yes, you are able to bring family members with you. However, the ELCA does not pay for any costs incurred by family members. More information will be forthcoming about how to make travel arrangements, so you can book tickets on the same flight.

I know that voting members and advisory members have their airfare paid by the ELCA, but what if I choose to drive?
Voting and advisory members of the assembly will be reimbursed at the current IRS rate for mileage, along with the cost of tolls and parking, up to the amount of the lowest available advance airfare. More detailed information about the allowed amount for reimbursement will be forthcoming.

What about meals?
Voting members and advisory members will have their meals paid for by the ELCA during the Churchwide Assembly. Some meals will be provided at the assembly site, and for others you will need to go offsite. Information regarding the purchase of meals for family members at the assembly will be included in your registration materials. Visitors will have the option of purchasing meals in advance of the assembly.

At what hotels are we staying?
Assembly participants and guests will be staying at either the Hyatt Regency Milwaukee or Hilton Milwaukee City Center. Room reservations must be made when completing the online assembly registration process. Please do not contact hotels directly.

Is my hotel room cost paid for by the ELCA?
Voting members and advisory members will have their hotel rooms paid for as long as they share a room with another voting or advisory member. Those who wish to have a private room will be charged one-half of the room rate of $129 + tax, per room, per night.

What is a congregation observer, and how do they register?
Each congregation of the ELCA may register one congregation observer for the Churchwide Assembly. Congregation observers will have reserved seating in the observers' section of the plenary hall and will have access to ELCA Guidebook app, as well as materials distributed on the plenary floor to voting members, advisory members and non-voting members during the assembly. Such observers shall have neither voice nor vote in plenary sessions of the assembly. Transportation costs, housing, meals and related expenses shall be the responsibility of the registered observer or the sending congregation. How does one volunteer to help at the churchwide assembly?
We are always grateful for volunteers. You are welcome to register to volunteer at the 2019 ELCA Churchwide Assembly at www.CWA19.org.

How do I register for the Milwaukee area ministry site visits organized by the Greater Milwaukee Area Synod?
Assembly participants will have the opportunity to spend the morning of Monday, Aug. 5, visiting various ministry locations in the Greater Milwaukee Synod. Buses will depart from the Wisconsin Center at 8:30 a.m. and return by 12 p.m. The cost is $20/person, meals not included. This is an optional outing; voting and advisory members please keep in mind the ELCA does not cover the cost of an additional hotel night to attend. I am a voting member. How do I book transportation to and from the Milwaukee airport?
You will receive an email in July confirming your housing details as well as a link to book your airport shuttle. If you have any questions or do not receive the email by July 25th, please contact the Churchwide Assembly Registrar at cwaregistrar@elca.org.
